App-Specific Legal Information
Privacy Policy

1. Who We Are
LicencePrep Namibia (“LicencePrep”) is a learner’s-licence preparation and road-rule education application provided by Onyra Digital (“Onyra”, “we”, “us” or “our”), based in Windhoek, Namibia.
This Privacy Policy explains how LicencePrep collects, uses, stores, shares and protects personal and device information when you use the LicencePrep mobile application, related LicencePrep websites, Onyra backend services and supporting cloud infrastructure.
LicencePrep is an independent educational product. It is not an official application of the Namibian Government, Roads Authority, Ministry, testing authority or licensing authority.
2. Scope and Consent
The Privacy Policy applies to guest use, signed-in learner accounts, optional League participation, paid access passes, Pass Coach and voice features, the Partner Programme, and authorized administrative functions. Where the app presents a consent screen, your acceptance is recorded against the version of the Terms of Use and Privacy Policy presented to you.
You may use certain LicencePrep features as a guest. Some functions, including cloud restore, League participation, paid-entitlement recovery, the Partner Programme and administrative functions, require an authenticated account.
3. Information We Collect
Depending on the features you use, we may collect or process the following categories of information.
Account and identity information. Display name, email address, authentication provider, Firebase user identifier, account status, consent versions and information needed to keep your account secure.
Google Sign-In information. When you choose Sign in with Google, Google may provide basic identity information needed for authentication, such as your name, email address and basic profile information. LicencePrep does not request access to your Gmail, Google Drive, contacts or other unrelated Google services for ordinary sign-in.
Learner profile information. Licence class, selected town or locality, region, League participation preference, app settings, selected market and other preparation preferences you choose to provide. LicencePrep does not require precise GPS location for League participation.
Learning and assessment information. Lesson completion, question attempts, selected answers, mistakes, mapped misconceptions, rule and topic mastery, visual-recognition progress, readiness estimates, practice activity, Quick Check, Practice Test and Mock Test history, flags, study recommendations and related learning evidence.
LicencePrep League information. If you opt in, LicencePrep processes a limited performance snapshot together with your selected town and region to calculate anonymous national, regional and town standings, privacy-thresholded cohort statistics and honours. Your real name and email address are not displayed publicly through the League.
AI Pass Coach input and context. Text questions, voice transcripts and limited structured LicencePrep context needed to answer your request. This may include the active lesson, question, answer choice, road sign, mapped misconception, rule, topic or scenario relevant to your request.
Voice and audio information. If you use voice input, LicencePrep temporarily processes the recording needed for speech-to-text. Raw voice audio is not intended to be retained in ordinary learner records after transcription or cancellation, except where temporary technical handling is necessary. Spoken responses and Read Aloud may use device or third-party text-to-speech processing.
AI usage and operational telemetry. Request type, model or routing information, token or speech usage, latency, cache status, allowance or rate-limit information, approximate service cost, error information and similar operational metadata used to manage reliability, fair-use allowances, abuse prevention and service quality.
Purchases, passes and entitlements. Google Play product or pass type, purchase token or transaction reference, verification status, entitlement status, access dates, restore state, voucher or code redemption, promotional or partner attribution and related timestamps. Google Play processes payment-card details. Onyra does not receive your full payment-card number.
Partner Programme information. If you activate an Affiliate profile or apply as a Driving School Partner, we may process your partner code, partner status, contact information, business or school details, town and region, optional registration details, Partner Terms acceptance, referral attribution, verified paid referrals, commission ledger entries, milestones, payout requests and related audit history.
Partner payout information. For EFT payouts we may process the account-holder name, bank name, branch code where applicable, account number, account type, masked account display, payout references and payment status. Full payout details are restricted to authorized operational systems and administrators.
Administrative device and alert information. For authorized Onyra administrators only, LicencePrep may process administrative membership, device notification tokens, alert-delivery status and per-admin read receipts needed for Admin Pulse and operational alerts.
Technical and security information. App version, operating system, device information, IP address, request identifiers, timestamps, network and error information, authentication events, security events, diagnostic data and other information needed to operate and protect LicencePrep.
4. How We Use Information
We use information only as reasonably necessary to operate, secure and improve LicencePrep, including to:
- authenticate learners and restore supported account data across devices;
- provide lessons, practice, assessments, Mistake Bank, study recommendations, readiness estimates and learner progress;
- operate the optional anonymous LicencePrep League and enforce cohort privacy thresholds;
- provide Pass Coach, voice, speech-to-text and Read Aloud features;
- manage plan-based AI allowances and service reliability;
- verify Google Play purchases, access passes, vouchers, referral attribution and entitlements;
- operate the Affiliate and Driving School Partner Programme, commission ledger and EFT payout lifecycle;
- send authorized administrative alerts and maintain operational audit records;
- detect fraud, abuse, unauthorized access, security incidents and service misuse;
- troubleshoot errors, maintain backups and service continuity;
- respond to support, privacy and deletion requests; and
- comply with legal, tax, accounting, regulatory and dispute-resolution obligations.
LicencePrep does not sell personal learner information. We do not publicly expose raw learning history, email addresses, private account information, payout details or administrator information through the League.
5. Artificial Intelligence Processing
LicencePrep uses external AI and speech services, currently including OpenAI APIs, to support Pass Coach, grounded explanations, voice transcription and related tutoring features. AI requests are routed through the secure Onyra backend rather than directly from the mobile application.
Verified canonical LicencePrep knowledge is intended to remain the factual grounding layer for learner-driver content. AI models help explain that material, but they are not a legal authority and may produce incomplete or incorrect output.
We minimize the information sent to AI providers. We do not intentionally send your email address, full learner history, payout details or unrelated profile information when it is not needed for the feature you requested.
Using or listening to an AI explanation does not by itself prove mastery. LicencePrep mastery and readiness evidence is based on learning and assessment activity.
If you report or flag an AI response through an in-app reporting tool, where available, we may process the reported response, relevant prompt/context and technical metadata needed to investigate safety, accuracy or policy concerns.
6. Google Sign-In and Google API Data
LicencePrep uses Google Sign-In only for authentication and account access unless a future feature clearly requests additional Google authorization. We use Google-provided identity information only for the purposes disclosed in this Policy and do not request unrelated Google account data.
If LicencePrep introduces additional Google API permissions in the future, the app will request only the scopes needed for the feature, provide appropriate disclosure and update this Policy where required.
7. LicencePrep League and Geographic Information
League participation is optional and available to signed-in learners regardless of paid tier. You select your town or locality and LicencePrep associates it with a region. LicencePrep does not require GPS or precise device-location permission for this purpose.
League calculations use aggregated or non-identifying learning evidence and apply minimum cohort thresholds before standings or honours are shown. Small cohorts may be suppressed to reduce re-identification risk.
Anonymous or de-identified aggregate League statistics may remain after account deletion if they no longer identify or reasonably relate back to the deleted learner.
8. Partner Programme and EFT Payout Data
If you become an Affiliate or verified Driving School Partner, LicencePrep processes partner information separately from ordinary learner progress so that we can validate referral codes, track verified purchases, calculate commissions and milestones, process payout requests and maintain financial audit records.
Full EFT destination details are available only to authorized administrators who need them to process payment. Partner-facing and notification surfaces use masked account information where practical.
If a partner account is deleted or closed, referral eligibility is disabled. Financial, tax, accounting, fraud-prevention, payout and audit records may be retained where legitimately required, while unnecessary profile information is deleted or de-identified where reasonably possible.
9. When We Share or Disclose Information
We share information only as reasonably necessary for the purposes described in this Policy, including with:
- Google/Firebase and Google Cloud services used for authentication, Firestore, Cloud Functions, notifications and supporting infrastructure;
- Google Play for purchase processing, product information, purchase verification, restoration, refunds and entitlement management;
- OpenAI or another disclosed AI or speech provider when you use an AI- or voice-enabled feature;
- hosting, infrastructure, security, storage and operational service providers used by Onyra;
- professional advisers, regulators, courts or law-enforcement authorities where disclosure is required by law or reasonably necessary to protect users, Onyra or the public; and
- a successor entity in connection with a merger, acquisition, restructuring or sale of the LicencePrep business, subject to applicable law.
We do not sell personal learner data.
10. Permissions and Device Access
LicencePrep requests device permissions only when needed for a feature you choose to use. For example, microphone access may be requested when you choose to ask Pass Coach a question by voice. You can decline a permission and continue using available alternatives such as typed questions, although the related feature may not work.
LicencePrep does not require precise device-location permission for League town or region selection.
11. Data Storage, Security and International Processing
LicencePrep uses technical and organizational safeguards designed to protect information, including encrypted network connections, authenticated access, owner-scoped Firebase security rules, server-side entitlement and AI-budget controls, restricted backend credentials, request validation, rate limits and isolated Onyra services.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Cloud and service providers may process information in Namibia, South Africa, the United States, Europe or other locations where those providers operate. Where information is processed internationally, we rely on applicable provider safeguards, contractual arrangements and legal mechanisms.
12. Data Retention
We retain information only for as long as reasonably necessary to provide LicencePrep, maintain service integrity, manage access passes and Partner Programme obligations, comply with law, resolve disputes and protect against fraud or abuse.
Active learner data is generally retained while the account is active and is deleted or queued for deletion after a verified deletion request, subject to the limited retention described below.
- temporary voice recordings are intended to be deleted after transcription or cancellation where technically possible;
- AI usage, security and diagnostic records may be retained for limited periods needed for service integrity, abuse prevention and dispute handling;
- purchase, entitlement, referral, commission, payout, accounting and tax records may be retained for longer where legally or operationally required;
- protected backups may contain recently deleted information until the applicable backup rotates out, which may take up to approximately 14 days under the current Onyra logical-backup cycle.
13. Account Deletion
You can request deletion of a LicencePrep account and associated private account data from inside the app or through the public deletion resource. Account deletion is intended to remove the Firebase Authentication account and applicable LicencePrep learner data rather than merely freeze the account.
Public account deletion resource: https://onyradigital.com/apps/licenceprep#account-deletion
Some limited records may be retained for legitimate security, fraud-prevention, accounting, tax, purchase-verification, chargeback, dispute or compliance reasons. De-identified League aggregates may remain if they no longer identify the deleted learner.
Deleting a LicencePrep account does not delete your underlying Google account or your Google Play account.
14. Your Choices and Rights
You can edit supported profile and preparation settings, choose whether to participate in League, manage supported app permissions, review the Privacy Policy and Terms of Use in the app, and request access, correction or deletion of information where applicable.

15. Young Learners
LicencePrep may be used by teenagers and other learners preparing for a learner’s licence. If you are under 18, a parent or guardian should review the app’s Terms and privacy information with you where appropriate. If a parent or guardian believes a minor has provided information inappropriately or needs assistance with an account, please contact Onyra.
16. Changes to This Privacy Policy
We may update this Privacy Policy when LicencePrep’s features, Partner Programme, service providers, legal requirements or data practices materially change. We will publish the updated version with a revised Last updated date and may require in-app re-consent when a material change affects rights or data practices.
